Fields on the Profile Panel

The table below lists and defines the fields on the Profile panel. You can refer to this information when adding new individuals and editing existing profiles.

Important

Permissions tied to your role determine what fields in the Profile panel you are allowed to see, edit, and delete. 

Profile Panel Fields

 

Field

Description

 

Photo

Profile photo of the individual.

If a photo is uploaded, a picture of the individual appears in this space. If no photo is uploaded, a placeholder image is appears.

Click the photo or the placeholder image to add, change, or delete the profile photo.

 

Title

Honorific or professional title that is used to address or refer to the individual, for example, Mr., Mrs., Professor, and Dr.

 

First Name

Middle Name

Last Name

Suffix

The individual's full name (first, middle, and last) followed by a group of letters (suffix) that provides more information about them, for example, Jr. (Junior), Sr. (Senior), and PhD, to name a few.  

 

Nick Name

An informal or familiar name by which the individual goes by, for example, Danny (for Daniel), Ed (for Edward), Kathy (for Katherine).

 

Maiden Name

The surname of a person prior to marriage who takes their spouse's last name.

 

Date of Birth

Date the individual was born.

 

Social Security Number

Individual's social security number, the unique nine-digit numerical identifier assigned to U.S. citizens by the Social Security Administration.  

 

Drivers License Number

State

Expires

Individual's driver's license number, the unique identification number printed on the individual's driver's license. This number, assigned by the state, identifies the individual and grants them permission to drive on public roads.

State: the state that issued the individual's driver's license.

Expires: the month/date/year (mm/dd/yyyy) in which the driver's license is set to expire, making it no longer valid.

 

Address Line 1

Number of home or building and name of street

 

Address Line 2

House or apartment number

 

City, State, Postal Code

City, state, and zip code or mailing code

 

Cell Phone

Individual's cell phone number

 

Home Phone

Individual's home phone number

 

Email

Individual's email address.

 

Notes

Comments field where a user can enter notes about the individual.

This is a general access field, which is visible to all users. 

 

Admin Notes

Comments field where a user can enter notes about the individual.

For security reasons, only users with Individuals + View Admin Notes permissions assigned to their role can view and enter notes in the field. The field itself is not visible to users with this permission assigned to their role.  

 

Priest/Deacon Incardinated Elsewhere checkbox

  1. Checkbox selected: indicates that the individual is a priest or deacon that serves in the diocese but belongs to a different diocese.
  2. Checkbox not selected: indicates that the individual is a priest or deacon that serves in the diocese and belongs to the diocese.

This field is used by the USCCB counts. If the checkbox is selected, the individual is not included in your diocese's USCCB counts.

 

External ID

Unique identifier that identifies the individual in an outside system (for example, in the program your organization uses to conduct background checks). The field is important for maintaining referential integrity between the two systems (SEP and the third-party provider). 

This field is optional. Accepts alphanumeric values.

Access to the field is controlled by permissions, specifically:

  • Only users assigned Individuals > Add permission are allowed to add a value to the field. 

  • Only users assigned Individuals > Edit permission are allowed to change a value in in the field.

 

Source

Lets you identify the source of the value in the External ID field.

This field is optional. Accepts text values.
